How to add a clinic

Applies to a Tier 1 mapping site, e.g. Western Health (AU), NSLHD (AU), Peninsula Health (AU)


1. Join VPN (if required)

2. Connect to the customer environment and RDP into the server

3. Connect to Jayex Interface Agent

4. Go to Config 

5. Enlighten Service Mapping


6. In order to map the below clinic we need the below data.


Example clinic

  • Clinic Name: SP Paed ENT Price
  • Clinic Code: SPENTTP
  • Clinic frequency: Monthly
  • Start date: 14/04/23
  • Day Clinic runs: Thursday
  • Clinic time: 9am – 4:15pm
  • Location: Children’s Clinic A


7. Search for duplicate clinic codes using the PAS Code to find.

8. Add a new mapping.





Detail:

During this step, a new column on the panel will be created and a code ID will be assigned for the new Service with the created user and the created date and default parent as Tier 1.




9. Enter the below data points accordingly to the panel's assigned column.


  • PAS Service Name-> Enter the 'Clinic Name'
  • Enlighten Service -> Use the drop to select the 'Location'



10. Press 'Validate Mappings'.

Check Status.

If there are any errors there will be a warning. In this case, the issue is that the Service was not selected, therefore we need to rectify it and validate the mappings again.




11. Make sure the locations are added using the Find by searching the Clinic Code.



12. Now we need to Go to Jayex Interface and Restart the server. Because the changes are not yet deployed unless a restart has occurred. Only applicable to older Interface Agents – but there is no harm in restarting this Service. It could also be restarted in Services.MSC .

For the customer to quickly get today’s appts to show up in Enlighten, all they need to do is reschedule each appt, keeping the time the same. This will cause the PAS to resend the appt (e.g. HL7 SIU-S13 or S14), the appt will be processed with the new mappings. All future appts will now be sent to the Service that has just been mapped.


Moving appointment


Description:

If the clinic was started before hand there are appointments created already, these need to be moved and mapped to the newly created service. The steps are below.


1. Check the Enlighten Tools


2. Go to the Move Appts tab and Press Connect 

3. Find the Clinic Code

4.Press Populate List


5. Find if the code is available under middle table


6.Click on the code and then Refresh which will show how appointments are available.

7.Check on what Service the appoints are on, Usually its on the test service, Unlick the tick from Clinic code.


8. Refresh the appointments

9. On the Move to Service List click on the New list the appointment that needs to be moved. NOTE: Verify your changes, once the changes are done its not possible to undo the changes.

10. Press 'Yes'

11. Press 'Yes'

12. Note the on progress bar, changes are been effected.


Once done it will state done.
